How can you make a difference?
Under the general supervision of the Administrative Specialist P3, the incumbent performs asset administration support functions. The incumbent is responsible for processing AMRs, tagging of all UNICEF assets as required by UNICEF rules and conduct regularly quarterly verifications in the field offices and Outposts and track the movement of assets in various locations.
Summary of Key functions and accountabilities:
1. Property and Equipment Management, General Office Equipment, Vehicles:
- Supports Asset management in ACO including office equipment and vehicles, updating inventory of items.
- Create Lite AMRs and Asset Master Record (AMR) numbers for asset procurements.
- Create asset purchase requisitions linking them to Asset Master Records (AMR).
- Focal point for procurement of ICT equipment in the office: asset registration, disposal, issuance and returning of ICT equipment in the CO office.
- Supports Admin Specialist in maintaining and verifying correctness of items records in the SAP data base.
- Manage SharePoint staff asset records / database ensuring all entries are verified, corrected, updated and completed with correct information.
- Assist in the preparation and compilations of the assets to be disposed of and update the asset register with action taken.
- Clearance of outstanding exit clearance forms – receiving property from staff on separation.
- Fixtures, Furniture and Equipment’s administration (acquisition and allocation, repair and maintenance)
- Support the mandatory exercise of physical count and verification of all PPE items for ACO
- Facilitate disposals through auction and destruction exercise and implementation of PSB recommendations.
- Receiving new equipment from suppliers and inspecting them to ensure that right quantities and specification are delivered as per the PO, tag and issue them as per the distribution list provided.
- Back up Administrative Specialist P3 on issues of Assets, Property and Equipment Management.
- Provide training and induction to the newly recruited Admin Assistant GS5 asset focal person.

- Completion of secondary education is required. University level courses in administration, finance, accounting, supply or any other related field of discipline relevant to the job is an asset.
- A minimum of 7 years of relevant professional work experience with both national and international work experience in office management, administration, finance, accounting, supply, or any other relevant function.
- Work experience in emergency duty station.
- Fluency in English is required. Knowledge of local language (Dari or Pashto) is an asset.
